What to Include in a Hospital Surgical Instrument Purchase Enquiry

A practical checklist for hospital procurement teams: what to include in a surgical-instrument enquiry so a supplier can respond accurately the first time.

What to Include in a Hospital Surgical Instrument Purchase Enquiry

A clear enquiry gets a clear answer. When a request leaves out a product code, a quantity or a delivery location, the supplier has to ask before they can respond, and the process slows down for everyone. This checklist is written for hospital procurement teams and distributors who want to prepare a surgical-instrument enquiry that can be answered accurately the first time.

An instrument set is listed by its contents and sizes, which is why quantities and sizes matter in an enquiry.

The checklist

1. Who is enquiring

Your organisation and department, the name of the contact person, and an email address and phone or WhatsApp number where the supplier can reach them.

2. Where the order will be delivered

The delivery city and country. International buyers should also state the destination country and any import requirements they are already aware of.

3. The instrument list

List each instrument by its exact product name and product code as shown on the catalogue page, with the quantity of each. For long lists, a simple table or spreadsheet with one instrument per row is easier to check than a paragraph of text.

4. Specification details

Where a product comes in more than one variant or size, state the one you need: straight or curved, the length, the tip combination, and the material or finish where there is a choice.

5. Instrument sets, trays and containers

If you are asking about a set, include its contents list and the quantity of sets. Say whether you also need trays or containers and, if so, the sizes you require.

6. Documents you need

If you need datasheets, certificates or other documents with the order or before it, say so in the enquiry. The quality certificates section of the About page shows the certifications Hospitime lists, and each product page offers a datasheet to download.

7. Branding, labelling or packaging

Hospitime product pages note that OEM branding is available. If you need branding, specific labelling or particular packaging, mention it at the start rather than after the quotation.

8. Timing

The date you need the order delivered, or your target timeline, and whether the requirement is a single purchase or a recurring one.

9. Tender or format requirements

If the enquiry relates to a tender, include the reference and any required response format, so the answer can be prepared in the form your team needs.

How to send your enquiry

You can add products to your enquiry cart from the catalogue and send them together, use the enquiry page, or contact Hospitime on WhatsApp at +91 99999 97011. If you would like the product range first, you can request a free catalogue. Prices, availability and delivery times are confirmed by Hospitime when it responds to your enquiry.

A last check before you send

  • Every product code matches the product page.
  • Every line has a quantity.
  • Variants and sizes are stated where there is a choice.
  • Your contact details and delivery location are included.
  • You have listed any documents, branding or packaging you need.
